Top 10 Data Room Software in 2026, Ranked by Price and Ease of Setup

The 10 data rooms a small team can set up itself, ranked by what 3 people pay for 6 months. Published prices, checked October 2026.

The best data room software for a small team is the one you can set up yourself in an afternoon and afford for the whole deal. So this list ranks 10 data rooms on two things: what a team of three pays to run a room for six months, and how quickly you get from sign-up to a room you can share. Every option either shows its price on its own page or lets you build a room before you talk to anyone.

How the ranking works

I took each vendor's own pricing page on 30 October 2026 and worked out the cheapest plan that includes a data room for 3 people, billed monthly, for 6 months. I used monthly prices because most raises and small sales don't last a full year. If a yearly plan is cheaper for you, the yearly price is listed too.

Where a plan has a minimum number of users, I used the minimum. Prices are before tax. Check each link before you buy, because these change.

Cost counts most. Where two prices are close, the room that's quicker to set up ranks higher: signing up without a call, a free plan or trial, and ready-made folder templates for your kind of deal all count.

The ranking at a glance

  1. TalkOctopus: $894
  2. Peony: $792
  3. Papermark: €894 (priced in euros)
  4. DocSend: $1,500
  5. Onehub: $2,250
  6. ShareFile: $2,310
  7. CapLinked: $2,394
  8. SecureDocs: $2,400
  9. Digify: $3,000
  10. Ansarada: set up free, then an online quote

The 10 data rooms, ranked by price and setup

1. Talk Octopus: $894 for six months

TalkOctopus charges a flat monthly price with people included. The room plan is $149 a month billed monthly and includes 1 live data room and up to 5 people. Six months comes to $894.

Setup: sign up yourself and start from one of 17 ready-made room templates. The room has a 14-day free trial that needs a card, and there is a free plan for sharing documents.

Good to know: Deal is $299 a month for 3 rooms and 10 people. There are no per-page fees.

2. Peony: $792 for six months

Peony charges per admin, and viewers are free and unlimited. The business plan is $44 per admin a month billed monthly, or $30 billed yearly. It includes up to 3 data rooms per admin. Three admins for six months comes to $792.

Setup: sign up yourself. There is a free plan that doesn't expire.

Good to know: the plan named Data Room costs more ($75 per admin monthly) and removes the room limit. Cost grows with every admin you add.

3. Papermark: €894 for six months

Papermark prices in euros. Its Data Rooms plan is €149 a month billed monthly, or €99 billed yearly, and includes 3 team members. Six months monthly comes to €894. I haven't converted it, because the dollar amount depends on the exchange rate the day you pay.

Setup: sign up yourself with a free plan and a 7-day trial of Data Rooms Plus. It is open source, so you can also host it yourself.

Good to know: extra team members cost more on every plan.

4. DocSend: $1,500 for six months

DocSend's data rooms start on Advanced: $250 a month billed monthly for 3 users, or $150 billed yearly. Six months monthly comes to $1,500. Standard ($43 per user monthly) is cheaper but has no data rooms.

Setup: sign up yourself with a 14-day trial. There is no free plan.

Good to know: data room audit logs need the higher Advanced Data Rooms tier.

5. Onehub: $2,250 for six months

Onehub's Data Room Edition is $375 a month billed monthly, or $300 billed yearly. Six months monthly comes to $2,250.

Setup: sign up yourself. All plans include a 14-day trial.

Good to know: the cheaper per-user plans are for everyday file sharing. The data room features live on their own edition.

6. ShareFile: $2,310 for six months

ShareFile's Virtual Data Room plan is listed at $77.00 or $69.30 per user a month, depending on billing, with a minimum of 5 users. A team of three still pays for 5. At $77 a user for six months, that's $2,310.

Setup: sign up yourself from a "Try Free" button.

Good to know: the billing period you pick is fixed for the term.

7. CapLinked: $2,394 for six months

CapLinked's team plan, which it calls its starter virtual data room plan, is $399 a month. Six months comes to $2,394.

Setup: sign up yourself with a 14-day trial.

Good to know: the pricing page doesn't say whether Team is billed monthly or yearly, so confirm before you buy.

8. SecureDocs: $2,400 for six months

SecureDocs charges a flat fee with unlimited users and documents. The 3-month plan is $400 a month, billed quarterly. Two quarters come to $2,400. The 12-month plan is cheaper per month at $250, but you commit to a year.

Setup: start with a 14-day trial.

Good to know: users don't change the price, which helps a bigger team.

9. Digify: $3,000 for six months

Digify's Pro plan covers 1 user. For 3 people you need a team: $500 a month billed monthly, or $350 billed yearly, with 10 data rooms and 200 guests. Six months monthly comes to $3,000.

Setup: sign up yourself with a free trial.

Good to know: dynamic watermarking and data room Q&A start on Team, so Pro won't cover them.

10. Ansarada: free to set up, then an online quote

Ansarada doesn't publish a price, but you don't need a sales call to start. You can set up a room for free and get a price from an online quote builder. Payment starts when the room goes live or 90 days after you create it.

Good to know: pricing is mainly on data volume, and extra data is charged for the rest of your contracted term.

What "easy to set up" should mean

A room is only quick to set up if three things are true:

  1. You can sign up without a call. Every option ranked 1 to 9 lets you do this.
  2. There is a template to start from. An empty room is the slowest part. Look for a ready folder index for your kind of deal.
  3. Inviting people is simple. Check how you give each investor or buyer their own access and how you turn it off.

Which one should you pick?

  • Tightest budget and a small team: look at the top of the ranking, and check what each plan leaves out.
  • Many people on your side: flat pricing like SecureDocs or plans that include several people beats per-user pricing.
  • You need watermarks and NDAs: check the exact tier that includes them. On several products it isn't the cheapest one.
  • A large, regulated sale: this list isn't for you. Start with the quote-based rooms in our full comparison of 15 data rooms.
