Your deal
Everyone who sends documents or runs the room.

DocSend's Standard plan, with data rooms, lists $45 (October 2026).
Most raises and sale processes run 3 to 9 months.

Enterprise data rooms (Datasite, Intralinks, Ansarada, iDeals, Firmex) are quoted per project, so there's no public price to put here. Ask them for a quote with the same team and timeline.

Guide

How data room pricing works

How much does a data room cost?

It depends far more on the pricing model than on the features. The same six-person team can pay a few hundred dollars a month on one tool and a few thousand on another, so work out which model a tool uses before you compare prices.

What are the main data room pricing models?

  • Per seat: every person on your team pays each month. Cheap for one person, expensive as the deal team grows.
  • Per project (quote): enterprise rooms such as Datasite and Intralinks price each deal on data volume, users and duration, after a sales call.
  • Per page or per gigabyte: older virtual data rooms charge for what you upload, which makes a large diligence set costly.
  • Flat rate: one monthly price for the team, whatever you upload. This is how TalkOctopus works.

How does the calculator work it out?

The per-seat side is your team size × the per-seat price you enter, every month. The default is DocSend's published Standard price with data rooms ($45 per person per month, October 2026).

The TalkOctopus side is the cheapest plan that covers your team and the rooms you need at once, using our published prices, including extra people or rooms when the plan needs them. Enterprise rooms aren't estimated, because their prices aren't public.

What else affects the cost?

  • How long the deal runs: a sale process that slips from 4 to 8 months doubles a monthly bill.
  • Whether watermarks, NDAs and audit logs need a higher tier.
  • Whether the people viewing the room (investors, buyers) are free, or count as users.
  • Minimum terms: some enterprise rooms bill for a fixed period even if the deal closes early.

How much does a data room cost?

It depends on the pricing model. Per-seat tools charge each person on your team every month; enterprise virtual data rooms quote per project, by data volume and duration; flat-rate tools charge one monthly price for the whole team. On TalkOctopus, data rooms start at $149 a month with 5 people included.

Why are enterprise data room prices not public?

Datasite, Intralinks, Ansarada, iDeals and Firmex quote each project on data volume, users, duration and features, so there is no list price to compare. Ask each for a quote with the same team size and timeline.

Is per-seat or flat-rate pricing cheaper?

Per-seat is cheaper for a very small team. With data rooms at DocSend's listed $45 per person a month, four people cost $180, already more than TalkOctopus's $149 Room plan, and the gap grows with every person who joins the deal team.

Do investors or buyers count as seats?

On most tools, and on TalkOctopus, the people who view your room (investors, buyers, advisors) are free and unlimited. Seats are for your own team who upload and share.
